How to calculate work hours and breaks
Use the quick mode to estimate daily and weekly hours when each workday follows the same schedule. For different schedules, the multi-day mode lets you add individual shifts, including multiple shifts on the same date, and shows the total hours for each day.
An end time earlier than the start is treated as an overnight shift, assigned entirely to its start date. You can enter an hourly rate and optionally apply a custom daily overtime threshold and multiplier. These are estimates, not statutory payroll calculations.
Formula or logic
- Shift hours = End time - Start time - unpaid breaks (add 24 hours for overnight shifts)
- Total hours = Sum of all shift hours (multiple shifts on a date are grouped)
- Estimated pay = Regular hours × Hourly rate + Overtime hours × Hourly rate × Custom multiplier (if enabled)
Example
A 09:00–18:00 shift with a 60-minute break is 8 hours. Five identical days total 40 hours in quick mode. If one day also has a 19:00–21:00 shift, add it on the same date in multi-day mode to total 10 hours for that day.
Common questions
Should lunch break be deducted?
If lunch is unpaid or not counted as working time, deduct it. Follow the actual workplace rule.
Can it handle overnight shifts?
Yes. When the end time is earlier than the start, the shift crosses midnight. The detailed report assigns all its hours to the start date; matching start and end times count as zero hours.
Can this be used for official payroll?
It estimates pay from an hourly rate and an optional custom overtime multiplier. These are not statutory payroll rules. Check contracts, holidays, deductions, and local labor requirements for official pay.
