How to calculate work hours and breaks

A work hours calculator uses start time, end time, and break time to calculate daily or weekly working hours. It can also estimate pay when an hourly rate is provided. It is useful for schedules, part-time tracking, freelancers, and personal time records.

Before calculating, check whether breaks should be deducted, whether the shift crosses midnight, and whether overtime, holiday, or different rate rules apply. This tool is for basic estimates.

Formula or logic

  • Actual work hours = End time - Start time - Break time
  • Estimated pay = Actual work hours × Hourly rate

Example

If work starts at 09:00 and ends at 18:00 with a 1-hour break, actual work time is 8 hours. At an hourly rate of 200, estimated pay is 1,600.

Common questions

Should lunch break be deducted?

If lunch is unpaid or not counted as working time, deduct it. Follow the actual workplace rule.

Can it handle overnight shifts?

Yes, but make sure the end time is treated as the next day when appropriate.

Can this be used for official payroll?

It is an estimate. Official payroll should follow contracts, company policy, overtime rules, and local labor regulations.
